Your information. Your choices.
How DNICK handles customer enquiry information, privacy requests, service providers and your rights under South Africa’s POPIA.
Last updated: 22 October 2026 · Notice version 2026-10-22
This notice is prepared for DNICK’s review. Its business address, Information Officer details, retention arrangements and service-provider safeguards still need confirmation. Privacy requests can already be directed to info@dnick.co.za.
1. Who is responsible for your information
DNICK (PTY) LTD is the responsible party for personal information it handles in connection with this website and its customer enquiries. This notice explains the intended handling of that information under the Protection of Personal Information Act 4 of 2013 (POPIA).
Enquiries and privacy requests: info@dnick.co.za. Phone or WhatsApp: 064 327 9128.
Business address: to be confirmed by DNICK. Information Officer: name and details to be confirmed by DNICK. Please mark privacy correspondence “For the Information Officer”.
2. Information you share and information the website processes
We receive information directly from you when you complete an available enquiry form, email a listed contact, call or send a WhatsApp message. This may include:
- Your name, email address, phone number and message.
- Your vehicle category, tyre size and count, location and requested service.
- Company name, fleet size, vehicle types and operating locations for fleet enquiries.
- A collection address and preferred date if a collection service is available and requested.
- Correspondence and any photographs or documents you choose to send by email or WhatsApp.
Hosting services may process IP addresses, request times, browser information and security logs. The enquiry API uses a hashed network identifier and short-lived counters to limit abuse. The email sent by the form includes a privacy acknowledgement and receipt time.
Please send only information relevant to your enquiry. Do not use the forms to send ID numbers, banking or card details, passwords, health information or children’s information. If you provide another person’s details, make sure you are authorised to do so and share this notice with them.
3. Why information is used
The enquiry process uses your details to respond, understand vehicle or fleet requirements, discuss suitability, prepare a quotation and arrange an agreed service. Relevant records may also be needed to deal with queries or disputes, meet applicable legal obligations and protect the website against abuse.
Depending on the circumstances, processing may rely on your consent, steps needed for an agreement with you, a legal obligation or a legitimate interest recognised by POPIA. Agreeing to be contacted about an enquiry is not an unlimited permission to use your information.
4. Your choice to provide information
Making an enquiry is voluntary. Fields marked with an asterisk are required for that form’s response or assessment process; they are not a claim that a law requires you to make an enquiry. If you do not provide the necessary contact or vehicle details, DNICK may be unable to respond, quote or arrange the requested service. Optional details can be omitted.
The website’s enquiry checkbox applies to handling and responding to that enquiry. It does not subscribe you to a mailing list, authorise publication of your photographs or provide consent to unrelated marketing. Any such use would need its own appropriate lawful basis.
5. Who may receive information
Information is intended for authorised DNICK personnel who need it to handle your request. Website enquiries are directed to the main enquiries inbox; listing individual team addresses does not automatically copy every enquiry to everyone. An email you send directly to a team member is addressed to that person.
The current website uses Vercel for hosting. When online enquiries are enabled, Resend handles email delivery and Upstash Redis provides abuse protection. DNICK’s mailbox provider handles incoming and retained email. WhatsApp/Meta processes communications when you choose WhatsApp. Other recipients may include an agreed service provider where needed to fulfil your request, professional advisers or authorities where disclosure is lawfully required.
DNICK must limit access and disclosures to what is necessary and confirm suitable contractual confidentiality and security obligations with operators handling information on its behalf.
6. Processing outside South Africa
Cloud hosting, email and messaging services may process information outside South Africa. Actual hosting regions, mailbox arrangements, recipients and transfer safeguards must be confirmed by DNICK. Where section 72 of POPIA applies, an appropriate lawful transfer basis must be established, such as adequate legal or contractual protection. Submitting an enquiry is not blanket consent to unrestricted overseas transfers. Contact info@dnick.co.za for details.
7. Retention and security
The website application does not maintain a customer enquiry database. Messages may remain in business mailboxes, email delivery systems and WhatsApp histories. Hosting logs, backups and security records are separate from the enquiry itself. The rate-limit counter is configured to expire after approximately 11 minutes; this is not a retention period for messages or provider logs.
Enquiry and service records should be retained only as long as necessary for their purpose, an applicable legal requirement or a lawful dispute-related need, then securely deleted or de-identified as appropriate. DNICK must confirm and apply its retention schedule across mailboxes, devices, providers and backups; no automatic deletion of customer messages is claimed.
The website uses HTTPS, input validation and submission controls. DNICK must also maintain appropriate access controls and operational safeguards. No system is risk-free. Where a security compromise triggers POPIA notification duties, DNICK must notify the Information Regulator and affected people as required by law.
8. Your rights and how to make a request
Subject to POPIA and other applicable requirements, you may ask whether DNICK holds your personal information, request access, ask for correction or deletion where legally appropriate, object to processing on applicable grounds, or withdraw consent where processing relies on it. Withdrawal does not invalidate earlier lawful processing or prevent retention required by law.
Email info@dnick.co.za or contact 064 327 9128, describing the request and enough information to locate the relevant enquiry. DNICK may need proportionate identity verification before disclosing or changing records. Do not send identity documents unless a suitable process has been explained. You can also use the Information Regulator’s POPIA forms.
9. Complaints to the Information Regulator
You may raise a concern with DNICK and may complain directly to South Africa’s Information Regulator. Contacting DNICK first is not a condition for exercising that right.
- POPIA complaints: POPIAComplaints@inforegulator.org.za.
- Telephone: 010 023 5200.
- Address: Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191.
- Current contact details and complaint channels: Information Regulator contact page.
10. Cookies, external links and updates
This application does not intentionally set advertising or analytics cookies. Hosting and security services may process technical information. A Google Maps embed, if added, connects to Google. Email and WhatsApp links open services you choose to use; their own privacy terms also apply. Merely typing in the town finder does not send an enquiry.
This notice may be updated when the service or processing arrangements change. The revision date appears above. A revised notice does not retrospectively grant permission for an unrelated use of your information.
